Booking, Cancellation & Refund Policy
We want every booking at Oxford Falls Racquet Club to be simple and stress-free. This policy outlines how bookings, cancellations, credits and refunds work, so you know exactly what to expect before you book a court, lesson, clinic or event. If you have questions or need help, our team is always here to assist.
1. General Bookings
All court hire, coaching, clinics, camps and event bookings are subject to availability and are only confirmed once the booking process has been completed and any required payment has been received.
Oxford Falls Racquet Club reserves the right to update pricing, booking conditions and availability at any time without prior notice.
The club may also cancel, move or reassign a booking where required due to weather, operational needs, maintenance, events, safety concerns or booking errors. Where this occurs, we will do our best to offer an alternative time, credit or other suitable option.
2. Court Hire Bookings
Court hire bookings must be made in advance using the club’s booking system or directly through the club where applicable.
Bookings are for personal use only and must not be resold, transferred for profit or used for unauthorised commercial activity.
Only the court and time actually booked may be used. Use of courts outside the allocated booking time, or use of additional courts without approval, may result in additional hire charges.
As a courtesy to other players, all players must vacate the court promptly when their booking time ends.
3. Payment
Full payment may be required at the time of booking for casual court hire, lessons, clinics, camps, parties and events.
Where regular or recurring bookings are approved, payment terms will be advised by the club at the time of booking. Any regular booking that remains unpaid by the required due date may be cancelled.
4. Changes and Cancellations
If you need to cancel or amend a booking, please contact the club as early as possible at info@ofrclub.au.
Unless otherwise stated for a specific program, event or package, cancellations or booking changes should be made at least 24 hours before the scheduled start time.
Requests made with less than 24 hours’ notice may not be eligible for a refund, credit or reschedule.
Some special events, parties, group bookings or recurring bookings may be subject to different cancellation terms. Where this applies, those terms will be provided at the time of booking.
5. No-Shows
If you do not attend your booking and have not provided the required notice, the booking will generally be treated as a no-show.
No-shows are not usually eligible for a refund, credit or make-up session.
6. Wet Weather and Unsafe Conditions
Player safety is always our priority.
Bookings and lessons will not usually be cancelled for light or passing rain alone. If courts remain safe and playable, bookings may still go ahead.
Where weather, lightning, extreme heat or unsafe court conditions make play unsafe or unworkable, Oxford Falls Racquet Club may delay, pause, reschedule or cancel the booking.
If a booking is cancelled by the club before the start time due to unsafe conditions, a credit, make-up session or alternative booking may be offered where appropriate.
If heavy rain or unsafe conditions interrupt play after a booking has started, any credit or partial rebooking will be assessed by the club based on how much of the booked session was affected.
If no cancellation message or update has been issued, bookings and lessons are generally considered to still be proceeding as scheduled.
7. Refunds and Credits
Refunds and credits are considered on a case-by-case basis.
A refund, credit or rebooking may be offered where:
- the club cancels the booking
- unsafe weather prevents play
- a duplicate booking or booking system error has occurred
- a cancellation is made within the required notice period and qualifies under the applicable booking conditions
Where a refund is not offered, a booking credit or alternate session may be provided instead.
Credits must be used within any timeframe advised by the club and are not redeemable for cash unless required by law.
Unused credits, missed sessions and late cancellations are generally non-refundable.
8. Lessons, Clinics and Coaching
Private lessons, group coaching and clinics may be cancelled or rescheduled if the required notice is given.
Where a lesson is cancelled by the club due to weather or unsafe conditions, a make-up lesson, alternate session or credit may be offered where possible.
Make-up lessons are subject to availability and are not guaranteed in every circumstance.
Private lessons may be shared if approved by the club. Group size limits and any additional charges will be advised at the time of booking.
9. Regular or Ongoing Bookings
Where a regular booking arrangement has been approved, that booking is not automatically guaranteed indefinitely and may be reviewed, adjusted or discontinued by the club if needed.
Any renewal or continuation of regular bookings will be at the club’s discretion and subject to availability, programming requirements and payment being up to date.
Additional notice periods may apply to recurring or long-term bookings.
10. Events, Parties and Group Bookings
Birthday parties, school groups, corporate events and private functions may be subject to separate deposit, cancellation and refund conditions depending on the nature of the booking.
If a group booking or event requires catering, staffing, court allocation or reserved space, the applicable terms will be confirmed before the booking is finalised.
11. Booking Disputes and Errors
While we do our best to ensure all bookings are accurate, Oxford Falls Racquet Club is not responsible for losses arising from incorrect details entered by the customer during the booking process.
Where a genuine booking error is identified, we will do our best to investigate and provide a fair resolution.
